Check-in timing: 6:00 AM to 9:00 AM on the check-in date.
Cancellation requests must be sent via email to gelectra@gitam.edu with your Accommodation ID and the number of members to be cancelled.
The subject of the email should be "Cancellation of Accommodation".
For cancellations made on or before 15th February, 70% of the total amount will be refunded.
No refunds will be provided for cancellations made after 15th February.
Refunds will be processed within 1 month after the festival.

GITAM Hyderabad is located in the city of Hyderabad, which offers a variety of transport options to reach the campus comfortably. As follows:
Nearest Airport: Rajiv Gandhi International Airport, Hyderabad (Approximately 55-60 km from the university).
Travel Options from the Airport:
Taxi/Cab: Book an airport taxi via Ola, Uber, or airport taxi counters. The ride takes around 1.5 hours, depending on traffic.
Airport Bus (Pushpak): Take a Pushpak bus to Miyapur or Patancheru, then hire a local taxi/auto or board any bus heading towards Sangareddy, Zaheerabad, or Bidar via NH65. Ask the conductor to drop you at Rudraram Village Bus Stop.

From Railway Stations:
Taxi/Auto: Prepaid autos or taxis are available at all major railway stations. A ride from Lingampalli station is around 30-40 minutes.
MMTS Train: If arriving at Secunderabad or Nampally, take an MMTS local train to Lingampalli and then hire an auto or taxi.
Nearest Metro Station: Miyapur Metro Station (Red Line – Approx. 20 km from GITAM University).
How to Travel:
Board the Red Line Metro heading towards Miyapur.
From Miyapur Metro Station, hire a taxi, auto, or TSRTC bus heading towards Patancheru or Sangareddy.
Ask to stop at Rudraram Village Bus Stop, located close to GITAM University (approximately 500 meters away).

Route Directions from Key Locations in Hyderabad:
From Hyderabad City Center (Tank Bund/Abids):
1. Drive towards Miyapur via NH65.
2. Continue on NH65 towards Patancheru and Rudraram.
3. GITAM University is located on the main highway, about 4 km past Patancheru.
From the Outer Ring Road (ORR):
1. Enter the ORR and take Exit 3 towards Patancheru.
2. Follow NH65 towards Rudraram.
The university is located near Rudraram Village Bus, BHEL, and Sangareddy, which are common points for navigation assistance.
By following these directions, you can easily reach GITAM University Hyderabad using the Metro, buses, or other modes of transport.
Guests carrying electronic items must declare them at the GITAM Hyderabad Main Gate through a valid 'Gate Pass.'
Upon exit, belongings will be checked against the declared 'Gate Pass.'
Failure to declare electronic items or comply with checks upon exit may result in items being impounded.
All guests will be provided a bed and mattress.
Guests are advised to bring their own mattress covers, blankets, and pillows, as these will not be provided. The weather may be cold at night.
Any commodities or equipment issued to guests must be returned in the same condition at the time of check-out.
Loss or damage to items will incur fines.
Random checks will be conducted to prevent illegal stays on campus.
Teams unable to present electronic/physical accommodation receipts will be subject to fines and disqualification from the event.
All guests must report back to their hostels by 10:00 PM sharp without fail.
Hostel gates will be closed after this time, and entry will not be permitted under any circumstances.
Entry to the campus is permitted only through the Main Gate. All other gates will be closed for entry and exit during HAVANA'25.
Ensure compliance with all exit procedures, including checks at the gate, for a hassle-free departure.
All guests must carry valid government-issued photo ID proofs at all times.
Student participants must also carry their valid college photo ID cards.
Guests failing to produce required ID proofs will not be permitted to enter the campus or participate in the event.
The following items are strictly prohibited on campus:
Alcohol, drugs, narcotics, or intoxicants.
Sharp objects, explosives, or any hazardous items.
Other items deemed unsafe or objectionable by the security team.
Security personnel and the HAVANA'25 organizing team reserve the right to confiscate prohibited items and enforce disciplinary actions.
Guests must maintain proper decorum and ensure the cleanliness of the campus during their stay.
Any act of vandalism or violation of campus rules will result in strict action, including fines or removal from the premises.
HAVANA'25 and GITAM Hyderabad are not liable for any mishaps, accidents, or thefts occurring during the event or guests’ stay on campus.
In case of any emergency, report immediately to the Help Desk or Security Personnel.
Emergency contacts will be provided in the accommodation receipt.
Guests are expected to adhere to the event schedule and campus quiet hours after 10:00 PM. Disturbances will not be tolerated.
Guests are requested to stay within designated event areas and avoid restricted zones.
Follow all safety instructions provided by security or the organizing team.

Entry will be through GITAM HYD main gate only after producing your ticket ID, after which you will be given a colored band. Report at the hospitality desk. Produce your: Ticket ID, Gate Pass, Your college ID card & Photocopy of Govt. ID card. You will be given the keys to your allotted rooms along with the accommodation receipt.
